Job Title: ICJC Administrator

Location: Islamic Center of Johnson County – Overland Park, KS

Position Type: Part-Time (20 Hours per week)

Reports To: Board of Directors

Position Overview:

The Administrator at Islamic Center of Johnson County will oversee the day-to-day operations and administrative functions of the masjid. This role is essential for ensuring smooth operational workflows, managing staff and volunteers, and supporting the masjid’s mission through effective administration and organizational management.

Key Responsibilities:

  1. Operational Management:
    • Oversee daily administrative functions, including managing office systems, procedures, and logistics.
    • Ensure the masjid’s facilities are well-maintained, safe, and operational.
    • Coordinate with service providers and contractors for facility management and maintenance.
  2. Staff and Volunteer Management:
    • Supervise administrative staff and coordinate with volunteers to ensure efficient operations.
    • Develop and implement training programs for staff and volunteers.
    • Handle HR functions including recruitment, onboarding, and performance evaluations for administrative staff.
  3. Financial Administration:
    • Assist with budget preparation and financial planning.
    • Monitor and manage day-to-day financial transactions, including accounts payable/receivable.
    • Ensure accurate record-keeping and compliance with financial policies and procedures.
  4. Event Coordination:
    • Plan and organize masjid events, including religious, educational, and community gatherings.
    • Coordinate logistics for events, including scheduling, vendor management, and volunteer coordination.
    • Ensure all events are executed smoothly and meet the needs of attendees.
  5. Communication and Correspondence:
    • Manage internal and external communications, including email, phone, and mail.
    • Prepare and distribute newsletters, announcements, and other communications.
    • Serve as a point of contact for community inquiries and concerns.
  6. Document Management:
    • Maintain and organize masjid records, including membership databases, meeting minutes, and official documents.
    • Ensure compliance with data protection and privacy regulations.
    • Oversee the archiving and retrieval of documents as needed.
  7. Administrative Support:
    • Provide administrative support to the Board of Directors as required.
    • Prepare reports, presentations, and other documents for meetings and decision-making.
  8. Compliance and Policy Adherence:
    • Ensure adherence to organizational policies and procedures.
    • Stay updated on relevant regulations and best practices to ensure compliance.
    • Implement and enforce administrative policies and procedures.

Qualifications:

  • Bachelor’s degree in Business Administration, Nonprofit Management, or a related field (Master’s degree preferred).
  • Minimum of 3-5 years of experience in administrative management, preferably in a nonprofit or religious organization.
  • Strong understanding of Islamic principles and practices, with experience working in a masjid or similar environment preferred.
  • Excellent organizational and multitasking skills, with a keen attention to detail.
  • Proven leadership and team management abilities.
  • Strong communication skills, both written and verbal.
  • Proficiency in office software and technology, including word processing, spreadsheets, and database management.
  • Ability to handle confidential information with discretion.
